UD Calendar Procedures and Guidelines.

University of Dayton’s calendar offers a comprehensive listing of the University‘s events and important dates for current students, staff, and faculty. Entry of events is restricted to the University of Dayton community; however the view of the calendar is not.  Events entered on the calendar will be displayed to the general campus community, as well as accessible by the general public, so it's best to only enter events that you are comfortable sharing with a wide audience.

In the new calendar, there are no "separate" calendars. All events get published to a central "bucket" and are given "categories" (aka "tags").  The new campus calendar will allow end users to export individual events, or a live stream of events to an external calendar. For example, Google Calendar, Outlook, iCal, or other personal calendars.

The Provost’s Office manages calendar groups and users and sets policy for calendar use. UDit provides technical expertise in the way of application development and support. UD schools, departments, centers and other units populate the calendar by publishing their events.

The calendar uses the open‐source Bedework software developed by Rensselaer Polytechnic Institute.

Who can publish events?

There are two ways to publish events to the campus calendar.

1.  Through a departmental administrative group.  A department will want to request an administrative group if they sponsor a lot of events and have a central person who can add and manage events.  You get a higher level of control over the events, as you can go back and edit them anytime.  Departments publish information about their events, which include academic deadlines, lectures, conferences, performances, exhibitions, cultural activities, webinars and more.  Only departmental administrators can submit and publish events for the department. A department can have multiple administrators.  If you are interested in a departmental administrative group, send your request via email to Andrea Wade in the Office of the Provost.

2.  Anyone with an LDAP account can submit an event.  These submission are not automatically published, but are sent to the calendar administrator for approval.  To submit an event, select "Submit an Event," login with your LDAP user name and password, and submit your event information. Events submitted to the public calendar are subject to editing for spelling, length, and clarity; and approval by the Office of the Provost. On approval you will receive an email notification. Once your event is approved, you cannot edit it directly; you must contact the calendar administrator to edit the event.

Three Featured Event Images.

University Communications personnel will select events from the calendar to feature.  Events that will appeal to wide audiences and best illustrate the University’s mission will receive serious consideration. If you want your event considered as a featured event, please note this request in the additional information box when you enter the event information.  You must provide a photo to be considered.  The photo should be at minimum 300x200 pixels.  Email photos to Andrea Wade, Subject: Calendar feature photo, Body: Name of Event and Date.

Cancellation policy.

If an event is cancelled, it should NOT be removed from the calendar; instead, it should be marked "cancelled", or events submitted to the public calendar, please inform the calendar administrator via email.

How do we handle events which are sponsored by multiple departments?

For events which are sponsored by multiple departments, in which those departments want the event to show on their calendar, one person should enter the event onto their departmental calendar, and add the appropriate tags for the other departments. If you do not see the tags you need, contact the calendar administrator to have the tags exposed to you.

Image size requirements for event submissions.

You can add an image URL which will display in the details of your event submission.  For best viewing results make your image no larger than 350 pixels wide and/or 300 pixels high.
