Account Activation

Student - Voicemail may be added to the one published phone number in each campus residence

  • voice mailboxes are setup with a maximum of 5 minutes of ability to retain "old, heard/read" messages
  • will auto delete the "old, heard/read" messages after 10 days 
  • other telephone number in the residence may be added as extensions to the one voice mailbox
  • monthly cost is $5.00 billed through bursar account
  • account automatically deleted at the end of the term unless prior arrangements have been made to retain service

Note: Present a valid University of Dayton Student ID Card when making application for service.

RA/ RC/AC Voicemail - Residential Education may request voicemail for Area Coordinators, Residential Assistants and Residential Coordinators.

Faculty/Staff Voicemail

  • voice mailboxes are setup with a maximum of 7 minutes of ability to retain "old heard/read messages" 
  • will auto delete the "old, heard/read" messages after 30 days
  • monthly cost billed to department via Controller's Office

Password Change or Reset

Password Change

  1. Log in
  2. Touch 84
  3. Enter your old password, then press #
  4. Enter your new password, then press #
  5.  Re-enter your new password, then press #

Note: Passwords must contain at least 5 digits and must be non-sequential numbers.  Password cannot be 11111, 22222, 12345 or 54321 for example.

Password Reset

Information may be obtained by calling 229.3888 from the actual telephone the voicemail exists on or visiting Miriam Hall, Room 53, with picture ID.

Note: Password Change Requests from an off campus telephone are not permitted.

Auto Attendants

Announcements
Voice mail announcements are used to give information when no other option is needed. It simply states specific information and then disconnects. The option of touching 0 can be given to the caller if you want the call to have the option of transferring to an live attendant.

Announcements can be:

  • called directly
  • accessed from a menu

Menus
Voice mail menus are used to enhance a customer's call. Normally, a caller hears a greeting and then is given options to choose from such as:

  • another menu (from which there are another nine options)
  • a campus phone number
  • an express message right to a voice mailbox
  • an announcement

Time-of-Day Controllers
Time-of-day controllers routes calls to specific voice mail services depending on what time-of-day it is. There are three specific time periods.

  • Business Hours
  • Closed Hours
  • Holiday Hours
Note: Each time period has a specific service associated with it. For example, there could be a menu targeted for the business Hours and announcements targeted for the closed and holiday hours.

Greetings & Personal Verification

External Greeting - Plays for all off-campus callers and will play for internal calls if no internal greeting is recording.

  1. Touch 1 to select External Greeting
    Touch 2 to review a pre-existing greeting if one exists (or skip to Step 2.)
    Touch 76 to delete greeting if old one to be replaced
  2. Touch 5 to begin recording. NOTE: If old greeting is not deleted, the new recording will erase the old one from the place where you started to rerecord.
  3. Touch # to end recording
  4. Touch 2 to review new recording
  5. Repeat as necessary until desired message is obtained.

Internal Greeting - Plays for on-campus callers. It will not play for external callers if no external greeting is recorded.

  1. Touch 2 to select Internal Greeting 
    Touch 2 to review a pre-existing greeting if one exists (or skip to Step 2.)
    Touch 76 to delete greeting if old one to be replaced
  2. Touch 5 to begin recording. If old greeting is not deleted, the new recording will erase the old one from the place where you started to rerecord.
  3. Touch # to end recording
  4. Touch 2 to review new recording.
  5. Repeat as necessary until desired message is obtained.

Temporary Greeting - Plays for both internal and external calls, overriding all other greetings.

  1. Touch 3 to select Temporary Greeting 
    Touch 2 to review a pre-existing greeting if one exists (or skip to Step 2.)
    Touch 76 to delete greeting if old one to be replaced
  2. Touch 5 to begin recording. NOTE: If old greeting is not deleted, the new recording will erase the old one from the place where you started to rerecord.
  3. Touch # to end recording
  4. Touch 2 to review new recording.
  5. Repeat as necessary until desired message is obtained.

Note: Follow the prompts to specify an automatic end date for the temporary greeting. If an end date is not used, the temporary greeting must be deleted manually.

Delete Temporary Greeting

  1. Log in
  2. Touch 82376
Personal Verification - is available on all Faculty/Staff Voice Mailboxes
  • left when a user leaves a message in another mailbox
  • heard when a caller leaves an express message in your mailbox
  • heard when your line is busy and a caller gets the option to leave a message

Message Commands

Retrieving Messages

  1. Log in . . .
  2. Touch 2 to play
  3. Touch 6 to go to next message
  4. Touch 4 to go to previous message

Message Play Options - play part or all of any message as many times as you like, move freely through your mailbox, forward to the next message, go backward to the previous one

Press
1 - Skip backward 5 seconds at a time
# - Pause during playback
2 - Play the message just described/continue playback
3 - Skip forward 5 seconds at a time
4 - Go to the previous message
6 - Go to the next message

Note: You might find this special playback feature helpful; press 23 (up to three times) to speed the message up, then press 21 to slow it back to its original pace.

Deleting Messages

  1. After listening to a message, touch 7 6
  2. Hang up.

Note: Messages are automatically deleted after expiration date if user has not already done so individually

Undeleting Messages
If 7 6 is pressed a second time on a particular message before hanging up, the message will not be deleted.

Sending / Composing Messages

  1. Log in
  2. Touch 7 5 to compose a message
  3. Follow Meridian Mail Prompts
  4. Enter a list of mailboxes (5-digits each), separated by the # sign
  5. Touch # sign, again, after last mailbox number
  6. To begin recording message, touch 5
  7. To end recording, touch # sign
  8. To review message, touch 2
  9. To add to the message, repeat Steps 5 & 6
  10. To send the message, touch 7 9

Reply to a Message

  1. Touch 7 1 at end of message, but not after message is deleted or skipped

Note: Replies can be to other University of Dayton voicemail users only.

Call Sender

  1. After listening to a message, before you hang up, touch 9 to call the sender's telephone immediately
  2. Speak to the sender
  3. Hang up when finished


Forward a Message - Sends a copy of a message that you have received in your mailbox, to someone else

  1. After listening to a message, touch 7 3
  2. Enter a list of mailboxes:
    1. Enter the first mailbox number then, #. (The system will announce either the mailbox number just entered or a personal verification if one has been recorded.)
    2. Enter each of the remaining mailbox numbers, then #, separately. (Repeat this step for as many recipient mailbox numbers that are needed.)
  3. End the list by pressing the # again.

Note: If you do not know the number of a voice mail subscriber, you may use the NAME ADDRESSING. Press 6 0. Begin entering subscriber's last name, then first name . For the letter Q press 7 for the letter Z press 9.  The system will tell you when a match has been found.

Note: To delete an incorrectly input mailbox number, press 0, then #.

You will then be able to record a personal message to announce why the call is being forwarded that will be played to each of the mailbox ID(s) before the actual forwarded message is heard by each recipient.

  1. To begin recording, press 5, to end recording press or SKIP TO STEP 6. TO SEND IF NO PRE-RECORDING IS NEEDED
  2. To Review your personal message, press 2.
  3. To Send Press 7 9

Message Delivery

Personal Distribution Lists
Even though voicemail users are not able to send a blanket distribution list to all voice mail users, users can create up to nine personal distribution lists (each name = 1 digit). Each list can contain up to 99 entries.

A personal distribution list can contain all of the same types of addresses to which one can send a composed message, except to other personal distribution lists. All entries should be 5 digits long, the same as our on-campus extensions.

To Create a Personal Distribution List 
1. While logged in to your mailbox, press 85.
-- To play your lists, press *
You will be prompted to enter the distribution list number you wish to review followed by the # sign.
The system will tell you if you have entered a number that has no entries.
2. Choose a digit from one to nine to name your distribution list,
-- Enter it, then press #.
3. Press 5 to start entering addresses/extensions into the list.
4. Enter the first address/extension, then press #
5. Continue to enter addresses/extensions, pressing # after each one.
To cancel a number if entered wrong, press 0 #.
6. When the list is complete, press #.
7. When you are finished, press 4 to return to your messages.

To Play, Edit or Delete a Personal Distribution List
After you create a personal distribution list, you can play it to hear all the addresses, add to it, delete it, and search for addresses in the list.

  1. While logged in to your mailbox, press 85.
  2. Enter the distribution list number, then press #.
  3. To play the contents of the list, press 2.
  4. To add addresses to the list, press 5, - Enter each address, then press #. When the list is complete, press #.
  5. To delete THE ENTIRE LIST, press 76.

Note: If 76 is accidentally pressed, the list can be restored immediately by pressing 76 again BEFORE GOING TO THE NEXT FUNCTION.

6. To search for an address in the list so you can add it or delete it, press 6.
-- Enter the address, then press #.
A system message will advise you if the address/extension is in the list.
-- If it is not already there, you can add it by pressing 5.
-- If the address is already in the list, you can delete it by pressing 76.
7. When you are finished, press 4 to return to your messages.

Addressing By Name - Phone numbers or extensions can be entered by spelling a person's name on the telephone keypad instead of
entering a number

Name Addressing can be used for:

  • Addressing a Composed Message
  • Creating a Distribution List
  • Express Messaging

To Address By Name

1. When the Meridian Mail system message prompts you for a mailbox number, enter the Name
Addressing prefix, 6 0.
-- If you do not know the prefix, press *
2. Spell the last name, then the first.
-- For Q press 7
-- For Z press 9
For example, to reach Quinn, Bob, dial 78466262.
3. If you don't know the complete name, enter the first few letters, then press #.
-- Select from the list of possible matches for the name.
-- You can stop spelling the name as soon as the system announces a match. You do not have to press #.
-- The message is automatically addressed with the mailbox number for this name.
4. If the name is part of a list of addresses, continue to enter addresses.
5. When you are finished, press # to end the list.

Special Message Handling - Tags

When a message is created, special tags are available to the sender that will tell the voice mail system
exactly how the message is to be handled. A message is tagged BEFORE sending it. Multiple tags can be
used on one message.  These tags can be removed and changed before the message is actually sent.

Note: All messages are handled as "Standard" unless otherwise setup by the user

Message Tag Options

  • Standard - No special handling is setup
  • Urgent - These messages are announced when the user logs in. These messages also have a higher priority and will be sent before a standard message if they both are initiated at the same time.
  • Private - Private messages cannot be forwarded to another user
  • Acknowledgment - Messages tagged with Acknowledgment will send confirmation back to the sender when the message is read by the recipient
  • -- This option is only available from a user's own voice mail box
  • Timed Delivery - Messages can be tagged to be sent at a specific time on a specific date

How to Tag a Message
1. After composing a message or calling and leaving a message, press 7 0
2. Choose the message tag option.
-- For Urgent Delivery, touch 1
-- For Private Delivery, touch 4
-- For Acknowledged Delivery, touch 5
-- For Timed delivery, touch 6 (See Below)
3. To send the message, press 7 9

Timed Delivery
For timed delivery, press 7 0 6
-- Enter the month, followed by # If current month, day or time, press ONLY #
-- Enter the day, followed by #
-- Enter the Hour, Minutes, followed by #
Press 1 for a.m. or 2 for p.m.
To SEND, press 7 9
