Making a Reservation for Sears Recital Hall

1. Go to Astra Schedule using the link below.
2. Select calendar icon following "Today's date" and search for preferred date.
3. Select "Sears Recital Hall-View."
4. Select "Search" and the schedule for that date will appear.
5. Choose "Request an Event."
6. Enter the title of your event.
7. Scroll down to "To request Sears Recital Hall," then select "next."
8. Fill out the form on this page and choose "Submit Request" when done.

Policy for Sears Recital Hall Support

Use of Sears Recital Hall

Use of the Recital Hall should focus on the Arts and Humanities with events that clearly underline their missions and special place within the University. Events presented in this Hall would be those that support this mission and require the equipment that only the Recital Hall could provide.

Such events would include: Music student and faculty solo recitals; University chamber ensemble performances; guest artist recitals, sponsored by ArtsLive or by the Department of Music; guest lectures, sponsored by Humanities departments and scheduled outside the regular class time; Distinguished Speaker Series events; Arts and Humanities colloquia, panel discussions, clinics scheduled outside the regular class time; small theatrical performances or poetry readings that require limited props and no scenery (requiring only one technical rehearsal); meetings of the Humanities faculty and the College of Arts and Sciences (not individual departments); the Department of Music's Friday at One Recital Hours; students recital boards; rehearsals for upcoming Recital Hall performances; music auditions for scholarship and admissions; guest artist master classes and workshops; special video showings related to classes, sponsored by Humanities departments; recordings for audition tapes for students and faculty. On occasion, the space may be used for large classes that cannot be housed elsewhere.

Hall Reservation Event Acceptance Schedule

Before February 1 for the following academic year:

  • Department of Music ensemble concerts and events
  • Audition dates
  • Master class schedule
  • Friday-at-One schedule
  • Annual Events sponsored by Arts and Humanities
  • Dean of College of Arts and Sciences and Provost's Faculty Meetings
  • Arts and Humanities Classes for the following Fall (and Winter) semester. Requests to use Sears for regularly scheduled classes should be for special circumstances only and should be approved by the Dean's office. (Currently approved classes are ASI 111-112,  ASI 150, and MEE 415-416)

Beginning February 15:

  • Department of Music faculty recitals and events
  • Humanities departments special week-day events
  • Department of Music senior recitals

Beginning March 1:

  • Department of Music junior recitals

Beginning March 15:

  • Arts and Humanities Department weekend events and College week-day events

Beginning April 1:

  • Dates "on hold" for third semester will be released to other requestors; any conflicts will be determined by policy priorities.

Beginning May 1:

  • Community events, sponsored by an Arts or Humanities department

Beginning June 1:

  • Dates on hold for the first semester will be released to other requestors; any conflicts will be determined by policy priorities.

Beginning September 1:

  • Arts and Humanities classes for the following spring semester (must be approved through the Dean's Office).

Beginning October 1:

  • Dates "on hold" for the second semester will be released to other requestors; any conflicts will be determined by policy priorities.

Requests from outside the College of Arts and Sciences

Available dates in the Recital Hall will be released for use by the University academic community two months in advance, beginning July 1. Therefore, single events (with no rehearsal) sponsored by academic units outside the College may be scheduled in Sears Recital Hall beginning two months prior to the event, pending the Hall's availability. For example, a request for a non-College event on October 1 could be scheduled as early as August 1 if the Hall is available for that date. Events that may not support mission and policy guidelines of the Hall will be reviewed on a case to case basis.

Fee Structure

UD Department of Music Faculty and Students for Department Events:
  • No fee
  • Includes unedited archival quality audio file and DVD delivered to the MALL within two weeks
College of Arts and Sciences Events:
  • No fee for basic presentation setups. Unique and custom requests may be subject to additional fees
  • Archival quality recording is available upon request at an additional rate of $25/hour. Includes (1) audio file and (1) DVD copy. Additional DVD copies @ $10 each
UD Organizations Outside the College of Arts and Sciences
  • $100 minimum for up to 3 hours
  • $30/hour for additional time
  • Archival quality recording is available upon request at an additional rate of $25/hour. Includes (1) audio file and (1) DVD copy. Additional DVD copies @ $10 each
  • $125 for piano tuning if piano is used. Approval by Department of Music Chair is required
UD Music Faculty for Personal Use:
  • $50/hour. 2 hour minimum
  • $125 for piano tuning if piano is used
Use from Outside the University of Dayton:
  • $200 minimum for up to 2 hours
  • $50/hour for additional time
  • $125 for piano tuning if piano is used. Approval by Department of Music Chair is required
Cancellations:
  • Must be made at least 24 hours in advance or full reservation fees will be assessed
  • If this is a Department of Music or College of Arts and Sciences event, a rate of $25/hour will be assessed

Reservation for events must include an hour for setup time and 30 minutes after the event for teardown and closing of the Hall. The start and end times must be clearly stated in the request. Events that exceed their reservation time will be subject to a rate of $200/hour.

Sears Recital Hall is not available for recordings by community members or organizations.

Food, Drink and Use of the Lobby Space

Food and drink are not allowed in the auditorium. Those using the facility are expected to enforce this policy and to ensure that the furniture and equipment in the hall are used with appropriate care. Lobby use in relationship to an event in Sears is the responsibility of the user and should be indicated on the reservation request form. No use of the lobby for food is allowed during regularly scheduled classes. There are some small tables in the lobby, but additional tables are the responsibility of the user. The lobby must be left in an orderly fashion with all trash properly discarded.
