Getting Our Community into the Broader Community

In our efforts to promote civic engagement and to promote faith development, the University of Dayton has provided Campus Ministry with seven vans and one car. Our first priority with those vehicles is for retreats and service opportunities sponsored by our office and the service clubs we oversee. We also make those vehicles available for other University departments and registered student organizations when they aren't in use by ours. The vehicles are not allowed to be used for personal reasons, including student teaching, co-ops, internships, etc. Below is information on rental costs, who can drive the vehicles, how to reserve them, how to get authorized to use the gas cards, and other policies.

Costs for Using the Vehicles

To help us cover costs of gasoline. repairs, maintenance and insurance on our vehicles, our costs are as follows:

  • $0.90 per mile for vans
  • $0.85 per mile for the car

Since this becomes cost-prohibitive for long trips, we have a lower fee schedule for trips over 300 miles:

  • 300-999 miles--$200 flat rate, plus the cost of gas purchased
  • 1,000-1,499 miles--$275 flat rate, plus the cost of gas purchased
  • 1,500-1,999 miles--$350 flat rate, plus the cost of gas purchased
  • 2,000+ --$450 flat rate, plus the cost of gas purchased
Other potential costs
  • Insurance deductible is $500 on damage resulting from accidents. The driver shall be responsible for this deductible in accidents in which the driver is at fault (unless the department or student organization agrees to take responsibility for the deductible).
  • Any fees for parking or moving violations are the responsibility of the driver, even if the parking citation occurs on campus (Note: our vehicles are ONLY allowed to be parked in the University Vehicle Only spaces in S2 lot. You cannot just park them anywhere on campus.)
  • Failure to return the vehicle to one of the proper parking spaces in S2 lot by the designated time will result in a $50 fine. Plus, it's rude to whichever department or student organization had reserved it next. 
  • Failure to return the key and completed mileage form on the next business day will result in a $15 fine.

Becoming a Certified Driver

In order to drive a University vehicle, a person MUST be certified by the Environmental Health and Safety/RIsk Management Office on behalf of the University's insurance coverer. This certification process includes an online vehicle safety training course and a check on one's driving record to ensure that the driver doesn't have a bad record. Students' certification expires in one calendar year; most faculty and staff's certification expires in three years. One must do the entire process again each year (students) or every three years (fac/staff) in order to drive a University vehicle.

Reserving a Vehicle

To reserve one of the Campus Ministry vehicles, please call or email Karen Rolfe at krolfe2@udayton.edu. You will need to have date, time and driver information when you contact her.

Filling Up the Tank

If the tank is below 3/4, please fill it up before returning it. You can do this with the Wex gas cards that are kept in the glove compartment of each vehicle.

  • The Wex cards will work at 9 out of 10 gas stations in the U.S.
  • The Wex card may also be used at most repair shops if needed in case of a break down.  No other purchases are authorized. The card will not work for anything else.
  • Each van has its own unique card.  Therefore, if your department/organization is renting two vans and each van needs to be filled, for example, you must use only the card that is in each van for that particular van.  Do not use the same card for both vans.
  • For security reasons, these cards can ONLY be used at the pump and can ONLY be used by authorized users. We ask that ALL of our drivers become authorized to use the Wex cards. Please fill out this form:

Process at the Pump
  1. Before turning off the vehicle, check the mileage and make a note of this because you will be asked at the pump for the mileage.
  2. Turn off the van.
  3. Take the Wex card out of the glove compartment.
  4. Swipe the card in the slot at the pump.
  5. At this time you will be asked the mileage. Put the mileage in using the keypad.
  6. Following the mileage you will be asked for your ID.  Again put your ID number in using the keypad at the pump.
  • Your 6-digit Wex ID# will be the last 7 digits of your University ID, minus the very last digit.

After filling the tank, be sure to print out a receipt and return it to CSC when you return the key.

Other Policies

  • All personal items and trash must be removed from the vehicle.
  • Turn off all lights.
  • Return vehicle key and this completed form by the next business day.  Failure to do so will result in a $15 fine.
  • Return the vehicle at the designated time and to the proper section of the parking lot. Failure to do so will result in a $50 fine.
  • Pay the invoice within 30 days of receiving it.
  • Notify our office in a timely manner of reservation cancellation(s); others may be on a waiting list.
  • The vehicles are to be used for University business only.  They are not for personal use. 

Failure to abide by these responsibilities may result in suspension of vehicle renting privileges.
