Requesting Extended Stay & Early Arrival

When and how to request EX/EA

All individuals requesting an extended stay or early arrival must complete an individual application available through their student housing portal. The application for extended stay and early arrival opens approximately one (1) month prior to the extended stay/early arrival period and closes approximately two (2) weeks prior to the beginning of the extended stay/early arrival period.

Students should review their @udayton.edu email regularly for announcements and other information related to extended stay or early arrival periods.

Instructions for University of Dayton departments that are sponsoring groups

  1. Departments will be contacted prior to the extended stay/early arrival period to share details about the upcoming extended stay/early arrival period and to request group titles, department contact information, and department/group account information (if applicable).
  2. Departments must provide their group title and contact information to Housing and Residence Life.
  3. Students will visit myhousing.udayton.edu to apply for EX/EA. As students are completing the application, group sponsored students will be able to enter your department’s username and password shared previously with the department contact.
  4. It is the sponsoring department's responsibility to notify students in their group to apply. Students not affiliated with a group and who want EX or EA for personal reasons are opting for the "Personal Convenience" option and will not enter the username and password when completing the application.

Approvals

Applications are processed following the application deadline and students are notified once an assignment has been made. Students are not approved for extended stay or early arrival housing unless they receive written confirmation from housing@udayton.edu. All requests for extended stay or early arrival must be sent through and approved by Housing and Residence Life before students are notified. Departments must not promise students that they can arrive or depart outside of the advertised extended stay/early arrival dates provided and without prior approval from Housing and Residence Life.

Submission of the extended stay or early arrival application does not guarantee approval. Housing and Residence Life reserves the right to review the request and approve or deny accordingly. The student will receive a decision via their official University of Dayton e-mail address.

Cancellations

Students have the ability to make changes to and cancel their application at any time while the application is open. Cancellations and changes cannot be made to the application once a booking has already been created. In such cases and for any special requests or circumstances, students, faculty, staff and parents should e-mail housing@udayton.edu. Housing & Residence Life will respond to e-mails on a first-come, first-served basis. All cancellations must be received no later than 3 business days prior to the scheduled arrival/departure. Cancellations submitted less than 3 business days prior to a student's scheduled arrival/departure (or if students fail to cancel an unused reservation) will result in student's being assessed extended stay/early arrival fees as previously registered or other appropriate late fees as determined by the Department of Housing and Residence Life. 

Late Requests

Due to the last minute nature and volume of late applications, we cannot guarantee that applications received after the deadline dates will be handled immediately. Once the application closes, requests will be addressed on a first come, first served basis and need to be received in writing to housing@udayton.edu.

Late Fees

The late fee for requesting extended stay or early arrival is $25.00 per student. Late fees are assessed when the request for extended stay or early arrival comes after the published deadline date. Late fees are in addition to the Extended Stay/Early Arrival rate charge(s). All late fees will be charged to the student's individual student account.

Additional Charges

Students who stay late in their University of Dayton housing assignment beyond move-out dates without prior extended stay approval from Housing and Residence Life will be charged an additional one-time $125.00 improper checkout fee. Likewise, students who arrive early to their University of Dayton housing assignment without prior early arrival approval from Housing and Residence Life will be charged an additional one-time $125.00 fee.
