Van Policies & Rental Rates

Costs A University account number and sub-account number is required at the time of reservation. Van rental cost is $25 per day per van. Cancellations must be made at least 24 hours prior to the reservation, otherwise the department or student organization will be charged the full amount for the reservation. Vans must be returned by the date listed on the reservation or a $35 late fee will be added per day. Failure to return a van by the reservation end date may additionally result in the loss of van booking privileges for the department or organization for the current and/or following semester.

Fuel Customers are responsible for gas usage. Van fuel levels must be returned to that listed at check out or there will be an additional fee of $25 plus the cost of gas.

Drivers and Passengers Only drivers registered with the Department of Environmental Health and Safety / Risk Management are permitted to operate any University vehicle. To become registered or to check your registration status, please contact the department at 937-229-4503. You may also complete the online training program at  Each van may hold a maximum of 12 passengers, including the driver. All individuals are required to wear seat belts at all times.

Accidents All accidents must be reported immediately to the University Of Dayton Department of Public Safety at 937-229-2121.

Picking Up Please arrive at least 15 minutes prior to your schedule departure time in order to complete all necessary paperwork.

Distance: Customers may only travel in a 150 mile radius of the University of Dayton campus. This includes travel to Ohio: Cincinnati, Columbus, Toledo; Indiana: Bloomington, Fort Wayne, Indianapolis; Kentucky: Frankfort, Lexington, and Louisville.
